ABOUT THE ROLE
We are seeking an exceptionally detail-oriented, system-driven Executive & Personal Assistant to support the Director of a premier London-based property consultancy and alliance network.
This is not a purely reactive “firefighting” position. Our company operates with a highly refined Standard Operating Procedures (SOPs) and a Handbook covering all core workflows. Your primary mission is to take full ownership of the Director’s administrative, daily operational, and personal logistics with high-attentional accuracy, procedural discipline, and zero-mistake execution.
The workload is approximately 70% Business Administration & Operations and 30% Personal & Family Logistics.
CORE RESPONSIBILITIES
1. Daily Operations & Inbox Integrity
- Execute morning inbox reviews and send a structured Daily Email Update with proposed actions by 10:00 AM UK time.
- Adhere strictly to internal rules (e.g., maintaining the “Unread” email protocol, logging tasks accurately in tracking sheets, responding promptly as either yourself or the Director).
- Prioritise business opportunities and client communications over non-urgent and informational messages
- Log incoming contractor and company invoices, update tracking ledgers within 24 hours.
- Manage delegated Google Contacts and sometimes CRM contacts (Bigin) and with complete notes and tags.
- Send structured End-of-Day summary reports detailing priority accomplishments and pending items.
- Ad hoc minor marketing and website tasks using tools like Canva or WordPress
2. Calendar Management & Scheduling
- Schedule business and personal appointments following strict internal formatting, location tagging, and privacy settings.
- Manage complex scheduling constraints and time-zone conversions.
- Review and make recommendations on event participation, costs and logistics for the Director
3. Travel & Family Logistics
- Coordinate flight, hotel, and transit arrangements for the Director and family.
- Execute pre-travel checklists 48 hours prior to departure
- Research ad hoc projects related to upcoming trips, education, entertainment
WHO YOU ARE (REQUIREMENTS)
- Language: Native or fully fluent Russian speaker with high-level professional written and spoken English (essential).
- Mindset: You thrive on structure, love checklists, and take genuine pride in error-free execution. You double-check dates, references, and attachments before hitting “send.”
- Reliability: You follow rules and SOPs consistently without needing to be reminded after week three.
- Tech Savvy: Proficient with Google Workspace (Gmail delegation, Drive, Google Sheets, Calendar), WhatsApp, and CRM systems (Bigin/Zoho or similar).
- Availability: Available 5 days a week during core UK business hours (part-time, 4–5 hours daily).
- Geographic & Technical Requirements:
- Location: Must be physically located and resident outside of the Russian Federation (e.g., Georgia, Armenia, Turkey, Serbia, Montenegro, Kazakhstan, Turkey or EU countries).
- Infrastructure: Must have reliable, unrestricted access to UK websites, payment gateways, and cloud software without critical geo-blocking issues.
- Compensation: Salary for this position is between £700–£850/month based on the hours (20-25/week) and experience. Growth: Clear, annual pay review based on accuracy, zero-error performance, and SOP mastery.
